- Bookings, attendance, memberships, credits, cancellations, payments and transaction records.
- Health questionnaire answers and information you provide about injuries, pain, surgery, pregnancy, medical conditions or other matters relevant to safe participation.
- Messages, enquiries, feedback, complaints and your communication preferences.
- Marketing choices and records of emails or texts sent through Momence.
- Website and device information collected through essential technologies and, if you agree, Google Analytics.
3 How and why we use it
We use personal information to respond to enquiries; create and manage Momence accounts; arrange bookings, memberships and payments; communicate about sessions; provide safe and appropriately adapted Pilates instruction; administer the studio; maintain financial and legal records; handle complaints; protect our clients, staff and business; and improve our services.
Our lawful bases are normally performance of a contract, steps taken before entering a contract, compliance with legal obligations, our legitimate interests in running a safe and effective studio, and consent where consent is appropriate.
Health information is special-category data. We use it only where relevant to safe participation and with your explicit consent, including when you complete a health questionnaire or voluntarily give us health information. You may withdraw that consent, although we may then be unable to provide a safe or suitable service.
We use consent for marketing messages where required. You can unsubscribe using the link in a message or contact us at any time. Service messages about a booking, membership, timetable change or account are not marketing.
4 Momence, payments and other providers
We use Momence to manage bookings, attendance, memberships, health questionnaires, client communications and marketing. Payments may be processed through Momence and Stripe. We do not receive or store your complete card details.
We may also share necessary information with instructors working at the studio and with providers supporting our website, email, accounting, analytics and professional advice. These recipients may use information only for the relevant service or as otherwise permitted by law.
Some providers may process information outside the United Kingdom. Where this happens, we rely on an applicable adequacy arrangement or contractual and organisational safeguards intended to protect the information.
5 How long we keep information
We keep information only for as long as reasonably necessary for the purpose for which it was collected, including safety, tax, accounting, insurance and legal requirements.
- General enquiries that do not become bookings are normally retained for up to 12 months.
- Booking, membership, payment and account records may normally be retained for up to six years after the relationship ends where needed for business, tax or legal purposes.
- Health and participation records are reviewed and retained only for as long as needed for safe instruction, insurance or the handling of a possible claim.
- Marketing records are retained until you unsubscribe or we determine they are no longer needed, while retaining enough information to respect an opt-out.
- Analytics information is retained according to our Google Analytics settings; aggregated reports may be retained for longer.
6 Cookies and website analytics
Essential technologies help the website operate and remember your cookie choice. The Momence booking service may also use technologies needed to provide its schedule and booking functions.
Google Analytics is disabled unless you choose “Accept analytics”. If accepted, it helps us understand matters such as which pages are visited and how visitors use the site. Advertising storage remains disabled. You can change your choice at any time using Cookie settings.
7 Your rights
Depending on the circumstances, you may have rights to access your information, correct it, have it erased, restrict its use, object to its use, receive certain information in a portable format and withdraw consent. The right to object applies in particular to direct marketing.
To exercise a right, contact us using the details in section 1. We may need to confirm your identity. These rights are not absolute, and the law may permit or require us to retain or continue using some information.

Please contact Jennifer Barnett first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/ or by calling 0303 123 1113.
